1. Who we are

The Holy Name Men's Club is a 501(c)(3) nonprofit organization in Omaha, Nebraska (Federal ID #81-5160707). We operate the Holy Name Alumni Field House and support the children and families of Northeast Omaha through athletics and education.

This policy covers www.hnmensclub.org and the forms on it. It does not cover other organizations we link to, including our donation platform — see section 6.

2. Information you give us

We only receive what you choose to send. There is no hidden collection on this site.

Contact form

Your name, email address, an optional subject, and your message. This is emailed to our staff so we can reply. That's all it does — it isn't added to any mailing list.

Newsletter signup

Your first and last name, and either an email address or a mailing address — whichever you prefer. If you ask for the newsletter by mail, we need your street, city, state and ZIP code so we can actually mail it, and a name to address the envelope to.

We also record the date you signed up and what you agreed to receive, so that if you ever ask, we can tell you exactly when and how you joined the list.

Donations

Donations are handled by Givebutter, not by this website. Your card or bank details go directly to them and their payment processors. We never see, receive or store your card number. We do receive the donation record — your name, contact details, amount and any note you leave — so we can thank you, issue a receipt, and keep the records a nonprofit is required to keep.

Rentals, events and programs

If you inquire about renting the field house or enrolling in a program, we collect the details needed to arrange it. Program registration and participation are handled separately from this website and may involve their own forms and waivers.

3. Information collected automatically

Very little, and none of it for marketing.

• Standard server logs. Our host, Microsoft Azure, records ordinary web-server information such as IP addresses, timestamps and which page was requested. This is normal operation of any website and is used for security and reliability.
• Abuse protection. To stop bots flooding our forms, we count recent submissions per visitor. We do this using a one-way cryptographic hash of the IP address combined with a secret value — the address itself is never written down. The count expires within the hour.
• Error logs. When something breaks, our systems log the failure so we can fix it. These logs are not used to build a profile of you.

We do not run website analytics. We cannot tell you how many people visited a page, because we don't measure it.

4. How we use your information

• To reply to you when you contact us.
• To send the newsletter and other communications you asked for — by email, by mail, or both.
• To process, acknowledge and receipt donations, and to keep required financial and tax records.
• To arrange rentals, events and program participation.
• To keep the site working and protect it from abuse.
• To comply with the law.

If you subscribe, you'll receive the newsletter plus occasional news, events and fundraising appeals from the Holy Name Men's Club. We say that plainly rather than calling it "updates", because fundraising appeals are exactly what a parish nonprofit sends.

5. What we never do

• We never sell, rent or trade your information — not to other charities, not to anyone.
• We never share your details so another organization can market to you.
• We never place advertising or tracking pixels on this site.
• We never use your information to target you with advertising anywhere else.

6. Who else handles your information

Running a website means relying on outside providers, and we deliberately use a very limited number of them — a donation platform, a hosting provider, and a service that supplies the typefaces this site is set in. That's the extent of it.

We share information with these providers only so they can perform those services for us, and we don't permit them to use it for their own purposes. Each holds it under its own privacy policy.

One thing worth knowing: loading this site's typefaces means your browser contacts the font provider's servers, which reveals your IP address to them. No other information is sent, and no cookie is set.

We may also disclose information if the law requires it, or to protect the safety, rights or property of the club, our members, or the public.

If you'd like to know exactly which providers we use, just ask — info@hnmensclub.org. We're happy to tell you.

7. Cookies and local storage

This site sets no advertising or analytics cookies. There is nothing to consent to, which is why you won't see a cookie banner.

We store exactly two small values in your own browser, so the site can remember what you've already told it:

• hn_nl_subscribed — remembers you've already signed up, so we never ask again on that device.
• hn_nl_prompted — remembers that you declined, so we stay quiet for the next 30 days.

These stay on your device, are never sent to us, and contain no personal information. Clearing your browser data removes them. Because they're per-device, signing up on your phone won't be remembered on your laptop.

If you sign in to the staff area, a standard session cookie keeps you signed in. That area is for authorized staff only.

8. Your choices and how to opt out

Email

Every email we send includes an unsubscribe link. One click and it stops. You can also email info@hnmensclub.org and ask.

Mail

Email us at info@hnmensclub.org, call (531) 375-5872, or write to Holy Name Men's Club, P.O. Box 4835, Omaha, NE 68104, and ask us to stop mailing you. We'll remove you from the mailing list. Because print runs are prepared in advance, an issue already at the printer may still reach you.

You never have to subscribe to read

We ask for your details when you open a newsletter, but declining always works. Choose "just let me read it" and the newsletter opens immediately. Every issue can also be downloaded without giving us anything at all. Our archive is the parish's own record and we don't hold it hostage.

9. Children's privacy

This website is intended for adults. It is not directed at children under 13, and we do not knowingly collect personal information from them through this site.

We do serve children through our youth programs — but that participation is arranged directly with parents and guardians through separate registration, not through this website's forms.

Please don't let a child submit a home address through our newsletter form. If you believe a child under 13 has given us information here, contact info@hnmensclub.org and we will delete it promptly.

10. The newsletter archive and historical photographs

Our public archive holds decades of parish newsletters. These are historical documents, published as they were originally printed, and they contain names and photographs — including photographs of people who were children at the time.

We publish them because they're the shared record of this community. But if you appear in one, or your child does, and you would like it removed or obscured, write to us and we will take it seriously. Contact info@hnmensclub.org with the issue date and the page. You do not need to explain why.

11. How long we keep information

• Contact-form messages — kept in staff email as long as needed to handle your inquiry and for ordinary record-keeping.
• Newsletter subscriptions — kept until you unsubscribe or ask us to delete you.
• Donation records — kept as long as required by tax, accounting and charitable-reporting rules, typically at least seven years. We can stop contacting you at any time, but we can't erase a financial record we're required to keep.
• Abuse-protection counts — expire within the hour.

12. How we protect information

The site is served entirely over encrypted HTTPS. The staff publishing area requires a Holy Name organizational sign-in, and access is limited to a named list of people. Donation card details never touch our systems. Our storage keys and credentials are held in the hosting platform's protected configuration, not in the website's code.

No system is perfectly secure, and we won't pretend otherwise. If we ever learn of a breach affecting your information, we will tell you and the relevant authorities as the law requires.

13. Access, correction and deletion

You may ask us to tell you what information we hold about you, correct anything that's wrong, delete your information, or stop contacting you. Email info@hnmensclub.org or write to the address below.

We honor these requests from anyone who asks, wherever you live — we don't think you should need a particular state's law behind you to ask a parish club to stop writing to you. The one exception is records we're legally required to retain, such as donation records; in that case we'll stop using them to contact you.

14. Links to other sites

This site links to other places, including our Facebook page and our donation platform. Once you follow a link, you're on someone else's site under their privacy policy, and we have no control over what they collect.

15. Changes to this policy

If we change how we handle your information, we'll update this page and change the "last updated" date at the top. If the change is significant, we'll say so clearly rather than hoping you notice.
